How to plan a small team offsite near Chennai

Most offsite advice for Chennai is written for big groups: banquet halls, 200 delegates, a coach convoy down ECR. A team of eight or ten needs something different. You want a quiet place where people actually talk, without a hotel lobby, a wedding next door or a three-hour drive. Here is a simple way to plan one, step by step.

How to plan a small team offsite near Chennai

1. Decide what the offsite is for

Write one sentence before you book anything. For example: "Agree next year's plan", "Welcome three new managers" or "Thank the team after a hard quarter". A planning offsite needs long blocks of quiet working time. A thank-you offsite needs good food and very little agenda. The goal decides how many sessions you run and how much free time you leave.

2. Keep it close

For a one-night offsite, travel time is the biggest cost, so pick a place under two hours from the office. The coast south of the city works well. Kovalam, for example, is about 40 km south of central Chennai on the East Coast Road. Chennai airport is a similar distance away, which suits colleagues flying in from other offices.

3. Pick the right dates

  • Weekdays are calmer than weekends on ECR, and you're more likely to get the dates you want.
  • Season: offsite planners in Chennai suggest October to February, when the coast is less humid. That makes outdoor sessions far more pleasant.
  • Book early. Large resorts recommend booking six to eight weeks ahead for group space. For a private villa, ask as soon as you have a shortlist of dates.

4. Choose a space that fits the group

For under a dozen people, a private villa often works better than a resort. Everyone shares one house, meals happen around one table, and the "breakout room" is a garden or a terrace instead of a windowless hall. Check these before you book:

  • Enough beds for everyone, and who shares a room
  • A table that seats the whole group for working sessions
  • Outdoor space for breaks and informal one-to-ones
  • Reliable power, so laptops and air-conditioning don't stop mid-session
  • Anything your sessions depend on (Wi-Fi, a screen, invoicing for the company). Confirm these in writing.

5. Plan the food

Food is half of any offsite. If the venue offers a cook, plan the menu in advance and buy groceries on the way. Agree mealtimes that fit your agenda. A BBQ on the first evening is an easy way to get people off their laptops and talking.

6. Add one shared activity

One activity everyone does together is worth more than a full agenda. Near Kovalam:

  • Learn to surf, kayak or paddleboard together. Kovalam beach has surf schools such as Bay of Life, which teaches all three to beginners.
  • Boating at Muttukadu. The TTDC-run boat house on the Muttukadu backwaters offers rowing, pedal boats and speedboats.
  • Visit DakshinaChitra. This heritage museum at Muttukadu has reconstructed South Indian homes and hosts craft demonstrations and workshops. It is open 10 AM to 6 PM and closed on Tuesdays.
  • Walk the beach at sunrise. Kovalam is a Blue Flag beach with trained lifeguards on duty. It is the cheapest team-building there is.

7. A simple 24-hour agenda

Day 1 - 2:00 PM: arrive and check in. Lunch on the way. - 3:00 to 5:30 PM: session one, around the dining table. - 5:30 PM: break on the rooftop terrace as the light fades. - 7:30 PM: BBQ dinner in the garden. No laptops.

Day 2 - 6:00 AM: optional beach walk or surf lesson. - 8:00 AM: breakfast. - 9:00 to 10:45 AM: session two, covering decisions and owners. - 11:00 AM: check out and drive back for lunch in the city.

8. Your offsite checklist
